Bedlington Football Club and Bedlington United Sporting Club

This notice explains how Bedlington Football Club and Bedlington United Sporting Club (“the club”, the data controller) collects and uses personal information when you register a child, and when you use the KickStart app and website to run the club. We are committed to protecting your family's privacy and handling your information in line with UK data-protection law (UK GDPR and the Data Protection Act 2018).

What we collect

  • About the child: name, date of birth, age group, school year, and any medical conditions, allergies or dietary needs you tell us (used only for their welfare and safety).
  • About the parent/guardian: name, email, phone number and, where given, address, for contact and registration.
  • Consents you give or withhold (e.g. for photos/video, first aid, and being contacted), and when they were confirmed.
  • Participation: teams, session attendance, kit sizes/orders, payment status, and (where relevant) the child's FA registration number.
  • Photographs of a child only where you have given consent, used for their player record and club activities.

Why we use it, and our lawful basis

We use the information to register and run teams, organise sessions and fixtures, order kit, keep children safe, and contact you about the club. Our lawful bases are our legitimate interests (and yours) in running a grassroots football club, taking steps you have requested when you sign up, consent for photos/video and any partner marketing, and, for medical and safeguarding information, protecting the vital interests and welfare of the child and meeting our safeguarding responsibilities.

Who we share it with

We share information only with the services needed to run the club, and we never sell it. These include our secure hosting and storage providers; our subscription/payment provider (TeamFeePay) and card processor (Stripe); our kit supplier(s) (The Football Factory) for kit orders; and The Football Association / county FA for player registration and affiliation. We will only share your details with our coaching-delivery partner(s) (Northumberland Futsal) for their marketing if you have specifically opted in.

How long we keep it

We keep a child's information while they are involved with the club and for a reasonable period afterwards for our records and safeguarding, after which it is securely deleted. Medical details and consents are reviewed each season.

Your rights

You can ask to see, correct, delete or restrict your child's information, object to certain uses, ask for a copy to reuse, and withdraw any consent at any time. Contact the club to do so. You also have the right to complain to the Information Commissioner's Office (ico.org.uk), though we'd ask you to raise it with us first so we can help.

Children's information

Because our members are children, registration and consents are provided by a parent or guardian, and we take particular care with children's personal information.
